
Administrative Assistant

Hostos Immigration Center, Bronx NY
Job Summary
The Administrative Assistant will:
- Assist the Staff Attorney to coordinate office services, such as case management, records retention, and office supplies management.
- Perform administrative activities and clerical duties to ensure the efficiency of the center.
- Be responsible for tracking and monitoring all case files.
- Be responsible for the timely delivery of monthly and quarterly reports on clients served at the center.
- Ensure that clients who visit our immigration centers are properly served and that the rendered services are accurately recorded.
Duties and Responsibilities:
- Plan and schedule client appointments.
- Greet clients and screen the clients to be seen by the paralegals and attorneys.
- Organize and maintain client paper and electronic files. Archive and retrieve files as requested.
- Conduct legal and administrative research, and provide information to clients and staff.
- Assign daily tasks/activities to Federal Work Study students, and interns.
- Compile statistical reports including tables and texts using spreadsheet software.
- Monitor office supplies.
- Perform other duties as required by the Staff Attorney.
Qualifications:
- Ability to establish priorities, work independently, and to proceed with objectives, with little or no supervision.
- Must be able to operate multi-line telephone, fax, copier and other office equipment.
- Must be proficient with MS Office, specifically Word, Excel, and Access.
- Must have a pleasant phone manner and present a professional attitude to clients and staff.
- Bilingual in English and Spanish.
- Able to work in a diverse environment.
- Customer service focus.
- Excellent writing skills.
- Willing to work on Saturdays if necessary.
